Configure an Email Letterhead and Template | Trailhead Screen Reader Instructions

Introduction

Having a consistent look makes correspondence from your teams instantly recognizable and professional. Here, we’ll configure a template and letterhead that can be used by all team members for their day-to-day email needs.

Create a Letterhead

Your Customer Support team isn’t generic, and their correspondence shouldn’t be either. Manager Kenya Collins has requested you create custom letterhead for her team’s HTML email templates.

Before creating and customizing letterhead for the Customer Support team, you’ll need to save the Support Team logo to your org.

  1. Open this
    image
    and save to your desktop.
  2. Activate the App Launcher button.
  3. Enter Files in the Search apps and items box and select Files.
  4. Activate the Upload Files button.
  5. Choose the image you just saved to your desktop and activate the Done button once the upload is complete.
  6. Locate the table on this page which contains your list of uploaded files. Ensure the title for the file you just uploaded is GetCloudyConsultingLogo.
    Note: To edit the title name, activate the Show More Actions button menu below the file. When the menu expands, select Edit File Details and rename to  GetCloudyConsultingLogo.

 

Now create a letterhead:

  1. Activate the App Launcher button.
  2. Enter Letterheads in the Search apps and items box and select Enhanced Letterheads.
  3. Activate the New button.
  4. Complete the details about the new letterhead
    Field Value
    Name General Customer Support
    Description Use this letterhead for all public facing communications if no specific Customer Support letterhead exists
  5. Navigate to the header section. Screen readers will need to exit forms mode and navigate down by the arrow keys. As you navigate down beneath the description field, you will encounter static text reading "Header" followed by a Drop Files option. This is the correct section for the next steps. If you go past an edit field and then past an Insert Merge Field button, you will be in the footer section of the page which is not the correct location.
  6. Next, upload your logo. Navigate past the font controls in this section. Locate an expandable button menu which may announce as "{Label} Button menu. and select Browse or Upload. This button may not activate when JAWS users press ENTER on it. The element may also not be detected by NVDA.
  7. Press ENTER on the GetCloudyConsultingLogo  text. This may announce as static text without indicating it's a link or image. Then, navigate down and activate the Insert button.
  8. We return to our letterhead page. Navigate back to the header section and down past the font controls to the edit field called Header and Footer Content. Press ENTER to enter forms mode, and press ENTER again to move to the next line.

 

Add merge fields:

  1. With your curser in the edit field, type the word Dear.
  2. Press the SPACEBAR.
  3. Press TAB to land on the Insert merge field button and press ENTER to activate it.
  4. In the Search Recipient Merge Field edit box, enter the words First Name and press TAB. Select the First Name radio button.
  5. Activate the Insert button.
  6. You should land back in your edit field. Ensure your curser is at the end of the line. Add a comma after the last right brace and then press ENTER.
  7. Exit the form and activate the Save button.

 

Letterhead + Email Template

Now create an email template with the General Customer Support letterhead:

  1. Activate  the App Launcher button.
  2. Enter Email Templates in the Search apps and items box and select Email Templates.
  3. Activate the New Email Template button.
  4. Fill in these details:
    Field Value
    Email Template Name Public Facing General
    Description To be used for all public facing emails if there is no more specific template available
    Folder Public Email Templates
    Subject <<REPLACE WITH SUBJECT>>
    Enhanced Letterhead General Customer Support
  5. Activate the Save button.

 

Send an Email Test

Finally, test your email template.

  1. Activate the App Launcher button.
  2. Enter Contacts in the Search apps and items box and select Contacts.
  3. Change the Contacts list view to All Contacts and select Andy Young.
  4. Under the Details tab, edit the Email for this contact to your email address.
  5. Click Save.
  6. Navigate down past the Activity Publisher heading to the Email tab and press ENTER to select the Email tab.
  7. TAB through the fields on this compose email window until you land on the Insert, create, or update template button menu.
  8. Press ENTER on the menu, and then navigate down the list and select the Public Facing General template.
  9. Activate the  Insert button on the pop-up window.
  10. Review the template for accuracy.
  11. In the Subject field, delete the words <<REPLACE WITH SUBJECT>> and fill in a subject line of your choice.
  12. TAB into in the Email Body frame edit field and enter text of your choice, this will be displayed in the body of the email.
  13. Activate the Send button.
  14. Check your inbox for the email.
