Create an Approval Process

Use an approval process to automate the way referrals are approved.

Instead of using Lead and Opportunity objects to manage referrals, use the Clinical Service Request object and automation tools built for the FHIR R4-aligned Clinical Data Model. To benefit from new and enhanced referral management features in the future, you must use objects in the Clinical Data Model.

Important

Before starting this task, create email templates for referral assignment notification and referral update notification emails. For details on how to create email templates, see the Email Templates in Lightning Experience.

  1. From Setup, in the Quick Find box, enter Approval Processes, and then select Approval Processes.
  2. For Manage Approval Processes For, select Lead.
  3. Select Create New Approval Process | Use Jump Start Wizard.
  4. For Name, enter Referral Approval Process.
  5. The Unique Name field is autopopulated. Keep it as is.
  6. For Approval Assignment Email Template, enter the name of the referral assignment notification email template you created.
  7. Optionally, set up an entry criteria for the approval process.
  8. For Select Approver, select Automatically assign to queue.
  9. Select a referral approval queue.
  10. Save your changes.
  11. Click View Approval Process Detail Page.
  12. Under Final Approval Actions:
    1. Click Add New | Email Alert.
    2. For Description, enter Approval Alert Email.
    3. Accept the unique name.
    4. For Email Template, enter the name of the referral update notification email template you created.
    5. In Recipient Type search select User, enter the name of the users, and then click Find.
    6. Add the recipients.
    7. Save your changes.
    8. Click Add New | Field Update to change the owner to Referral Approvals queue.
    9. For Name, enter Approved Referral Owner.
    10. Accept the unique name.
    11. Choose the field to update.
      Depending on your choice of field update, provide additional details about the new field value.
    12. Save your changes.
  13. Under Final Rejection Actions:
    1. Click Add New | Field Update.
    2. For Name, enter Rejection Action.
    3. Accept the unique name.
    4. For Field To Update, choose Lead Status.
    5. For Picklist Options, select A specific value and choose Closed - Not Converted.
    6. Save your changes.
